OUTBOUND POST

Our mailing service can be simply described as two offerings, operational post and direct mail.

OPERATIONAL POST

We can mail your daily letters, packs and statements more efficiently than manual enclosing and paying for postage with a franking machine.  Using our automated processes, we can receive your documents, print them in bulk and dispatch on our postage account to achieve a significant postage saving versus franking.

STEP ONE

We retrieve your data or documents via SFTP transfer or a direct API link to your CRM software.

We'll report via email to confirm the data counts.

STEP TWO

Our automation software sorts the documents according to your requirements and prepares them for printing.

STEP THREE

Your documents are printed in bulk, either onto plain paper or by intelligently selecting the correct pre-printed stationery such as letterheads or forms.

STEP FOUR

Your documents are enclosed and quality checked, then dispatched via the appropriate postal provider.

STEP FIVE

We can send you daily, weekly and monthly reports, keeping track of your stock and spend.

INBOUND POST

SCANNING & INDEXING SERVICE

Go paperless by letting us scan your inbound post and uploading to you via API or SFTP.

We can scan your mail and extract data using OCR or barcode technology to speed up your customer journey and automate processes to generate triggered events such as re-packing out, sending reminders or initiating the next event.

RESPONSE MAIL HANDLING

By redirecting your response mail to our PO Box address, we can manage the receipt of your returns - open and sort your post, scan the content and programmatically process it in order to update your CRM software and upload the PDF scans for use in your system.

RECEIVE & OPEN MAIL

We'll receive your mail via Business Reply or Freepost envelope to our PO Box address.

MAIL SORTING RULES

We will sort your mail according to the rules and exceptions you specify.

SCAN DOCUMENTS

Using our barcode (added at the time of mailing out)
or OCR scanning your returned post, our Inbound Mail team
will scan the returned content and name and index the files as
PDFs or other image depending on your requirements. 
We can extract data from the scans using
our bespoke software.

SFTP/API UPLOAD

We will transfer the scanned PDFs or image files to you using our SFTP or access your CRM software directly via API to update it with the relevant information.

REPORTING

We will send you daily, weekly or monthly reports to detail what has been processed.

Our Inbound Mail Management service takes the strain of dealing with your daily post away and allows you to scale up your operations without increasing your staff levels.  Our customers generally see an uplift in the volume of business they receive after outsourcing their admin to us as staff can focus on their job rather than getting involved in mail opening and processing.

PRINTED ENVELOPES

MAILING ENVELOPES

At Managed Ink, we can produce your mailing envelopes in the size and colour you desire. Our experienced team can handle everything from the creation of your artwork and advise on re-order quantities.

We can print a huge range of envelope types and sizes in white, coloured, manilla, window, non window, gummed, self seal and peel & seal together with square, gusset and non-standard sizes.

We can hold your envelopes in stock for use on mailings or deliver them to you for your own use.

BUSINESS REPLY/FREEPOST

As well as printing your Business Reply Envelopes (BREs), we can advise on the service you are using to make sure you are paying the best possible price for your response mail.

PERSONALISATION

If your envelopes require personalisation, we can inkjet your data directly onto them in black or full colour.

We can print variable text and images, with custom logic to create a highly personalised campaign your business will be proud of.
